About the role
- Lead faculty administrative and operational services, coordinating operational planning and continuously improving systems, policies, workflows, and standard operating procedures across the office.
- Monitor operational performance, identify gaps, and act on opportunities to improve efficiency and service quality.
- Support faculty recruitment in coordination with HR and academic teams, and coordinate the onboarding and induction of new faculty, tracking appointments, offers, and joining formalities through to completion.
- Organise faculty meetings end-to-end - scheduling, agendas, minutes, and follow-up on agreed actions - and support the Director, Office of Faculty, on key decisions and initiatives.
- Build and maintain faculty dashboards and management reports, analysing underlying data to support planning, reviews, and decision-making, while ensuring data accuracy, consistency, and confidentiality.
- Maintain faculty data required for accreditations, rankings, reviews, and institutional reporting, working with other departments to collect, verify, and organise this information within required timelines.
- Oversee faculty housing allocation with Operations and office space allocation, and build effective working relationships with HR, Finance, IT, Procurement, and other administrative departments.
- Education: Graduate degree in any discipline; a postgraduate qualification in management, administration, education, human resources, or a related field preferred.
- Experience: 7-9 years of relevant experience in administration, operations, or programme management, ideally in a university or higher-education environment.
- Technical: Strong proficiency in Microsoft Excel, including building and maintaining dashboards and management reports to a high standard of accuracy; working knowledge of AI and automation systems and institutional data systems such as Interfolio.
- You take ownership of the office's operating systems end-to-end, diagnosing where processes break down and redesigning workflows rather than just patching issues as they arise.
- You exercise sound judgment and discretion when handling confidential faculty and institutional information, knowing what can be shared, with whom, and when.
- You build credibility quickly with both senior academic leadership and administrative teams, adapting your approach to each audience without diluting your message.
- You lead through influence rather than authority, aligning HR, Finance, IT, Procurement, and academic departments around shared faculty-support priorities.
- You hold yourself and the office accountable for data accuracy and timeliness, treating dashboards and institutional reporting as decision-grade rather than administrative record-keeping.
