The ideal candidate has proven hands-on experience independently executing end-to-end monthly payroll for an employee base of at least 400 members, coupled with a solid operational background in onboarding, leave/attendance administration, and HR documentation.

Key Responsibilities

Payroll & Compensation Management (Primary Focus)

  • Independently execute end-to-end monthly payroll processing for 400+ employees, ensuring complete accuracy and strict adherence to cut-off schedules.
  • Collate, validate, and process all monthly payroll inputs, including attendance, leaves, overtime, variable pay, arrears, incentives, salary revisions, and one-time deductions.
  • Manage statutory compliance end-to-end, including accurate calculation, timely deduction, and filing of Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), and Tax Deducted at Source (TDS/Income Tax).
  • Prepare and submit statutory returns, coordinate annual tax declaration verification, collect investment proofs, and issue annual Form 16s.
  • Compute and process final settlements (Full & Final / F&F) for exiting employees within stipulated timelines, including gratuity, encashment, and statutory recoveries.
  • Reconcile monthly payroll registers, bank transfer statements, and general ledger (GL) entries in coordination with the Finance and Accounts teams.
  • Serve as the single point of contact for employee payroll queries, resolving disputes regarding tax, pay slips, deductions, and reimbursements promptly.

HR Operations & Lifecycle Management

  • Manage seamless onboarding formalities, document verification, background verification (BGV) tracking, and master data creation in the HRMS.
  • Administer employee life-cycle transitions, including confirmations, role changes, transfers, promotions, and exit management.
  • Oversee the daily time, attendance, and leave management system, ensuring strict policy governance across all departments.
  • Maintain complete, audit-ready physical and digital employee personnel files in compliance with internal data governance and local labor laws.
  • Manage group insurance policies (GMC, GPA, GTL), overseeing end-to-end enrollment, additions/deletions, and claims support.
  • Draft operational HR communications, including offer letters, appointment orders, confirmation letters, experience certificates, and internal policy circulars.
  • Support internal, external, and statutory compliance audits by providing timely, error-free documentation and payroll reports.

Qualifications & Experience

  • Mandatory Requirement: Demonstrated track record of independently managing end-to-end payroll as an individual contributor for a headcount of at least 400 employees.
  • Education: Bachelor’s degree in Human Resources, Commerce, Business Administration, or a related discipline; an MBA or postgraduate diploma in HR is preferred.

Technical Proficiency:

  • Advanced hands-on proficiency in modern HRMS/Payroll platforms (e.g., Darwinbox, Keka, ZingHR, greytHR, SAP SuccessFactors, or equivalent).
  • Strong practical knowledge of statutory portals (EPFO, ESIC, Income Tax, State PT portals).
  • Advanced Microsoft Excel skills (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS, logical formulas, data validation).

Key Competencies

  • Meticulous Attention to Detail: Zero tolerance for calculation errors, data mismatches, and compliance lapses.
  • Integrity & Discretion: Absolute commitment to maintaining strict confidentiality regarding compensation structures and sensitive employee data.
